4C Community Centre Terms & Conditions
Thank you for choosing the 4C Community Centre as your choice of venue for your event. We hope it all goes smoothly. Please take time to read through our terms and conditions to understand the responsibilities you and the Centre have for the duration of your event. Upon confirmation of your room hire, you agree to these terms and conditions. Once again, thank you on behalf of the staff and trustees of the 4C Community Centre.
1. BOOKING
The 4C Community Centre may only be used for the purpose stated on the booking form and only the area paid for may be used, within the agreed hours.
The Hirer [you] shall not sub-hire the premises, or allow the premises to be used for any unlawful or unauthorised activity.
The Hirer [you] (or their Authorised Representative, not being a person under 21 years of age), should be on the premises during the period of the booking.
As the hirer you are responsible for ensuring the centre is not left unattended. If you have finished before your hire time ends and would like to vacate the premises, please ring the emergency number on the booking confirmation or invoice email.
The Board of Trustees [us] has the right to refuse a booking without giving a reason.
2. BOOKING CHARGES
4C Community Centre Terms & Conditions Each space may be hired separately or collectively. The charges are as set out on our website. A deposit is compulsory to secure your booking and will be taken at the cost of 1 hours hire of the room(s), and must be paid within 7 days.
A full refund will be given if you cancel more than 14 days in advance of your booking.
The deposit is non-refundable if you cancel within 14 days of your event.
For all bookings, payment is due 14 days before each event.
For bookings made within 14 days of the event, full payment must be made immediately.
Bookings will be cancelled if payment has not been received 7 days before the booking.
Bookings cancelled with 4-7 days’ notice will be charged at 50% of the room hire costs, and bookings cancelled with 3 or less clear days’ notice will be charged in full, unless there are exceptional circumstances at the discretion of the Trustees.
Keyholder Fee
If your booking is out of hours (Tuesday-Saturday 4pm-Late and all day Sunday and Monday) a one-off keyholder fee (per booking) of £20 will be charged. This charge ensures the building will be opened at the start of your booking and locked at the end of your booking.
Premium Late Night Hire Fee
If you are requesting your booking to exceed 8pm, a premium late night hire fee of £100 will be added to your invoice total.
Any breakages or damages will be charged accordingly.
If your event overruns, the Centre reserves the right to charge you for the extra time you have incurred.

3. USE AND RESPONSIBILITY FOR DAMAGE
The Hirer will, during the period of the hiring, be responsible for the supervision of the premises. They also accept responsibility for any damage, however slight, to the building and the contents. Hirers must leave the Hall or Room in the same clean and tidy condition as they find it.
Hirers are responsible for the setup and breakdown and general cleaning of each room, this includes setting up and putting away tables and chairs (this must be done within the agreed time of the event, not before or after).
The Hirer will also be responsible for making good any damage or loss and for ensuring that the requirements of the Law in regard to the use are fully observed, to obtain licenses where necessary and pay such fees or royalties as may be due. The Hirer will need to check if they need a Temporary Events Notice or an Alcohol License.
Please recycle where possible. As an eco centre it's important that all hirers help us with our eco mission. The large green bins on the car park are clearly labelled. Please ensure the correct wastage goes into the correct bin, as if there is found to be contamination we can be liable for charges from the council. As we encourage people to recycle more there is no limit to how much wastage can be recycled, however, only up to 5 general waste bags can be put into the bins. If any more is needed this will be charged at £5 per bag. CCTV is in operation. If you exceed 5 bags and do not want to incur a general waste charge please dispose of the waste yourself by taking it home.
Please avoid sticking anything strong to the painted walls as paint has been ripped off due to decorations. Please use the windows and bar counter top where possible and remove any adhesives you may use.
Please take time to read through the room hire guide which will be in the room on the day. The Community Centre must be vacated at the agreed time, no later. If later, an additional fee will be charged. (See point 2 for additional charges)
4. SAFETY
4C Community Centre Terms & Conditions Hirers should familiarise themselves with the locations of the Emergency Exits, Fire Extinguishers and the Safety Notices displayed in the Hall. In particular, they must ensure that access to the exits and equipment is kept free from obstruction.
All our electrical items are tested to comply with HSE standards. Any electrical appliances and installations that the user brings and plugs into the community centre must be similarly tested. We reserve the right to refuse their use if up-to-date test certificates are not available. Any damage incurred due to faulty equipment will be charged to the user in accordance to the cost of repair.
Should the need arise, there is a community defibrillator located on the outside of the building of Christ Church, facing the car park. Please call the emergency services and follow the instructions.
Inflatables are allowed inside the hall but please ask your supplier for low height inflatables. We recommend using Jalmac Leisure.
Please note: We do not have a First Aider on site at all times but have a small first aid kit available in the hall bar area and in the main corridor.
5. CAPACITY
The capacity of the hall is limited to 100 persons at any one time, with up to 100 persons able to be seated. The capacity of our meeting rooms is as follows: Longden is 15 persons, Wragg is 15 persons, and Dove is 10 persons, layout dependant.
5. RESPECT
We are situated close to residential properties and all Hirers are asked to be considerate to our neighbours. This means making as little noise as possible when outside of the Community Centre, and being considerate when leaving the centre, particularly in the evenings. Users wishing to stay later than 20:00 hours may make a request, but this will be at the discretion of the board of trustees and on a case-by-case basis. The additional time will be charged in accordance with our hourly rate for the room(s) that has been hired.
On no account can amplified music be played outdoors and music played indoors shall only be played at a reasonable level. Where the trustees raise a concern to the hirer about the noise level during the event, as a last resort we reserve the right to turn any music off.
The car park should be used responsibly to minimise the need for on-street parking on Taunton Road. In the event that there is an overflow, make sure that there is no obstruction to the main entrance from Taunton Road and to parking and access to neighbouring houses. No parking is allowed on the path adjacent to the building or the grass areas to ensure emergency access at all times.
Lastly, we would like to take this time to remind you that we are a community centre and there may well be a booking directly after your booking. This is why we have strict terms and conditions, so that the rooms are left in the same way as you found them.
